How to Write Job Descriptions That Attract the Right Candidates

notepad on table

In a competitive job market, the difference between an inbox full of the wrong applications and finding your ideal hire often comes down to one thing: the job description. At Four Squared Recruitment, we’ve seen time and time again that a well-crafted job description doesn’t just describe a role, it attracts the right talent, sets expectations, and reflects your company’s culture.

Here’s how to write job descriptions that work for you and bring in candidates who are qualified, engaged, and ready to contribute.

Start with a Clear, Specific Job Title

Job seekers are searching for titles that match their skills and experience. Avoid vague or overly creative titles like “Sales Ninja” or “Marketing Rockstar.” Instead, use industry-standard terms such as:

  • Sales Executive – B2B
  • Digital Marketing Manager
  • Finance Administrator – Part Time

Think like a job seeker, not a hiring manager.

Open with a Strong Hook

Your opening paragraph should answer this question: Why should someone want this job at your company?
Start with what makes your company stand out—whether it’s your mission, your people, your flexible work culture, or exciting growth plans.

A couple of examples are:

  • “Join a growing tech company at the forefront of innovation in AI-driven healthcare.”
  • “Looking for work-life balance? Our hybrid roles offer flexibility and career progression.”

Outline Key Responsibilities (Clearly!)

Candidates want to know what a typical day looks like. List 5–7 core duties using bullet points, focusing on clarity and impact:

  • Manage inbound sales enquiries and follow up with prospective clients
  • Oversee daily bookkeeping and bank reconciliation (Xero experience preferred)
  • Create and execute digital campaigns across Google Ads and LinkedIn
  • Avoid jargon, internal acronyms, or laundry lists that overwhelm.

Define Must-Have vs. Nice-to-Have Skills

Make it easy for the right candidates to say, “I’m a great fit for this.” Break your requirements into two sections:

Essential:

  • Minimum 2 years’ experience in B2B sales
  • Excellent written and verbal communication

Desirable:

  • Knowledge of CRM platforms (e.g. HubSpot)
  • Experience in the tech or SaaS sector

This helps you attract confident applicants and avoid deterring great people who might not tick every box.

Show What’s In It for Them

Top candidates want more than a salary—they want value. Include:

  • Salary range (transparency builds trust)
  • Flexible or hybrid working options
  • Learning & development opportunities
  • Perks like wellness days, team socials, or a strong company mission

A compelling “What We Offer” section can be just as influential as the job role itself.

Reflect Your Company Culture

Use a tone of voice that reflects who you are. Whether you’re a corporate law firm or a creative agency, candidates should get a feel for your workplace vibe through your language.

Example:

  • Professional tone: “You’ll work closely with senior leadership to deliver data-driven reporting.”
  • Casual tone: “You’ll be the go-to person for keeping things running smoothly behind the scenes.”

Keep It Inclusive

Review your job description for bias or unintentional barriers. Use inclusive language and avoid gendered terms or age-based expectations.
Tools like Gender Decoder or Textio can help you spot and remove bias, making your ad more appealing to a diverse talent pool.

Need Support With Hiring?

Writing job descriptions that attract the right candidates isn’t just about listing tasks—it’s about selling the role, the company, and the opportunity. When done well, your job description becomes your first chance to engage future team members and show them why they belong with you.
