Our client is seeking a motivated Temporary Senior Clerical Assistant. In this role, you’ll play a vital part in Management of the Clerical team.The ideal candidate will be immediately available and local/happy to travel as they will be expected to attend the office 5 days a week.

Key responsibilities for the role include –

This post will be required to work at an operational level to ensure that data managed using the UPM system can be used effectively in supporting the teams within the Fund that are reliant on the system for delivery of its services.

To support an operational team who are responsible to scan all incoming and outgoing Fund correspondence.

To process and review member data in bulk to ensure that all work is completed to a high quality, to meet the requirements of the service within the timescales set by the Fund and in accordance with statutory regulatory requirements.

To support with the responsibilities for facilities management and maintenance of the accommodation occupied by the Fund

Principal Duties and Responsibilities:

  • To be responsible to support the team who are responsible to scan all incoming and outgoing correspondence ensuring security, identification recording and quality assurance of all documents are to a high standard and comply with data protection policy and Fund requirements.
  • To support the Head of Governance with the supervision of the team, to maximise individual performance and to manage and co-ordinate the work of the team and escalate any issues to the Head of Governance as necessary.
  • To support in the production of reports and analysis to assist communication of the work and performance of the service are and to contribute to the production and delivery to the work and business plans for the service area.
  • Responsible for monitoring work outputs and rectifying any process errors to report to the Head of Governance any training or performance issues.
  • To be responsible for the appropriate regulation being applied in the maintenance of Fund data, processing of member benefits and to build and maintain up to date knowledge of legislation, relevant to the area of work,

e.g. Pensions legislation and supporting regulations and guidance (DCLG), statutory authorities (HMRC) and regulators (TPR) which affect the administration of the Local Government Pension Scheme (LGPS)

  • To analyse complex data and/or member benefits to ensure the correct information is held and processed correctly to ensure accurate recording, quotation and ultimate payment of individual member benefits.
  • Ensure good communications with all stakeholders, making use of appropriate tools. E.g. Word, Excel, Visio, PowerPoint, Publisher, MS Project.
  • To support the Head of Governance with the supervision of the team, to maximise individual performance and to manage and co-ordinate the work of the team and escalate any issues to the Head of Governance as necessary.
  • To be customer focused and responsible for communicating with employers, as required, ensuring the Fund obtains the information required to process data, member benefits and options within set timescales
  • To manage a high volume of workload, prioritising tasks and developing working practices to ensure efficient working, focused on meeting the Funds KPIs and delivering a high quality service.
  • To support in the production of reports and analysis to assist communication of the work and performance of the service are and to contribute to the production and delivery to the work and business plans for the service area.
  • Responsible for reviewing complex cases and assisting review of cases where queries have been raised to inform he Fund response in line with Fund policy.
  • To act in accordance with the Council’s Constitution and other Codes of Conduct.
  • To participate in staff development, appraisal and training as appropriate, including continuous professional development.
  • To comply with the Council’s agreed policies and procedures including but not limited to Health and Safety, and Equal Opportunities Policies, the Data Protection Act, Freedom of Information Act, Financial Management Regulations and other relevant Council and Government Regulations, Directives and City wide priorities.
  • To undertake any other tasks, duties and responsibilities as directed and appropriate to the grade and role of the post subject to any reasonable adjustments under the Disability Discrimination Act 1995 as incorporated into the Equality Act 2010.
  • To participate in the wider development of the service and contribute to service improvement as required.
